Use this editable customer complaint log to keep a named owner, next promised update and real completion evidence for each case. The Google Sheet includes instructions, a blank 18-field template and three fictional worked examples.

How the closure check works

Record case reference, date, channel, issue, risk, owner, acknowledgment, next update, checked facts, remedy, approver, current status, customer response, closure evidence and recurrence follow-up. The final two columns track manager verification and a calculated closure/follow-up check. Mark Closed only after an agreed outcome has actually been delivered, the evidence reviewed and the manager sign-off marked Verified.

In the fictional example, case C-211 has an agreed rebooking but the service has not happened, so it remains Investigating. Cases C-212 and C-213 remain open while an inspection or invoice review is pending. The sheet cannot independently decide whether a remedy legally or factually satisfies a claim; a responsible person must assess it.

Keep private customer details in an approved business system and use case IDs in shared sheets. Example response times are illustrative, not legal deadlines.
