How to add shift with HotSchedules

Hello and welcome back to another Top Biz Guides tutorial. In this video, we’re going to create a shift in your Hot Schedules account.

Here are the steps to create a shift:

  1. Open the “Scheduling” tab in your Hot Schedules account.
  2. In the “Scheduling” tab, you can review your employees’ schedules. If you have a large number of employees, you can use the search function by typing the first letter of the employee’s name to find them quickly.
  3. To schedule a shift for an employee, click on the cell corresponding to the date and the employee’s name. This will open a dialog box.
  4. In the dialog box, you can specify the details of the shift:
    • Start Time: Enter the start time of the shift. Hot Schedules may suggest an end time based on your default shift length.
    • End Time: You can adjust the end time if needed.
    • Job: Select the job or position for this shift. The available jobs are based on the jobs you’ve defined in your Hot Schedules account.
    • Shift Note (optional): You can add a note with additional details or instructions for this shift.
  5. After entering the shift details, click the “Save” button to create the shift. The shift will appear in the schedule.
  6. If you need to add another shift for the same employee on the same date, you can do so by clicking the “+ Add Shift” button within the dialog box.
  7. Once you’ve added all the shifts you need for that employee, you can click the “Post” button if you’re ready to publish the schedule changes. If you have multiple schedules, you may need to select the appropriate schedule to post to.
  8. After posting, the shift will be visible to the employee, and they will receive a notification if you have set up notifications in your Hot Schedules account.
