How to Add Time Off (PTO) with HotSchedules

Hello and welcome back to another Top Biz Guides tutorial. In this video, I’ll show you how to create or add time off in your HotSchedules account.

Adding Time Off:

  1. Open the main menu by clicking on the icon located in the top left corner of your screen.
  2. Scroll down to “Home” and click on “Manage Time Off.”
  3. By default, you’ll be in the “Pending Approval” tab, where you can see any time off requests from staff that are awaiting your approval.
  4. To create new time off, click on the “Create Time Off” button.
  5. Now, you’ll need to specify the type of time off you want to add. Depending on your organization’s settings, you might need to select the corresponding job for paid time off.
  6. Select the employee for whom you’re adding time off.
  7. Choose the relevant job if required.
  8. Decide if it’s an all-day request or for specific hours.
  9. Set the start and end dates for the time off.
  10. If you want to add comments or notes related to the time off, you can do so.
  11. Click “Save” to create the time off request.
  12. The request will appear in the calendar, and you’ll see its status as “Pending Approval.” You can also view details such as the number of hours requested.
  13. To approve the time off, click on the request. In the pop-up window, you can adjust the total PTO hours if necessary.
  14. If you need to add comments as part of the approval process, you can do so.
  15. Click “Approve” to confirm and approve the time off request.
  16. Once approved, the time off will be reflected in the calendar as approved.
  17. If you mistakenly approved a request and need to deny it, you can double-click on the request in the calendar and then click “Deny.”

That’s how you create and manage time off requests in HotSchedules. It allows you to efficiently track and approve time off for your staff members.
